CANCELLATION POLICIES

HOST MUNICIPALITY COURSE CANCELLATION:

Any Municipality that books a course with AMHSA is considered the “Course Host” and is responsible for all Course Minimum Fees and any cancellation fees. AMHSA’s cancellation fees are not meant to be punitive but are based on the need to compensate the contract trainers for their commitment to scheduled work.

  • Host Cancellation Policy:
    • If cancellation is within 10 business days or less of the course date the minimum course fee (10 Participants) will be charged. 
      This fee will apply regardless of whether the course is rescheduled or not.
    • If cancellation is between 11 days and 30 business days of the course start date a fee of ½ the minimum course fee will be charged. 
    • If the course being cancelled is re-booked at time of cancellation there is no cancellation fee charged.
  • Non-Member Course Cancellation Policy:
    • If cancellation is within 10 business days or less from the date of the course the maximum course fee (20 Participants) will be charged. This fee will apply regardless of whether the course is rescheduled or not.
    • If cancellation is between 11 days and 30 business days of the course start date a fee of ½ the maximum (20 Participants) course fee will be charged.
    • Note: The course cancellation fee policy for instructors will remain the same. There will be no additional fees paid to instructors.

INDIVIDUAL REGISTRANT CANCELLATION:
Any individual registering individually into an “open” AMHSA is considered an “individual” registration. If a registered individual withdraws from a course the following cancellation fees will apply:

  • Individual Withdrawal Policy:
    • If an individual withdraws from a course within 48 hours of commencement or does not show up for the course the entire course fee is charged.
    • If the individual registrant withdraws from a course 30 business days or less a $30.00 fee will be charged.
    • Withdrawals from courses with more than 30 business days notice will not be assessed a fee.
COURSE POSTPONEMENT, RESCHEDULING AND INCLEMENT WEATHER

  • Once a course has been scheduled and an instructor confirmed, the municipality booking the course will be charged the cancellation fees as noted above if the course does not proceed on that date.
  • Special Consideration may be given for “Operator Safety” courses where a municipality may be required to cancel or postpone due to severe weather and/or road conditions.
  • The Executive Director has the sole authority to wave any of the above fees if there are exceptional extenuating circumstances. (Example: Local State of Emergency)
MINIMUM FEES


A minimum fee will be applied in cases where municipalities host on-site training with fewer than 10 participants (with the exception of Operator Safety courses with a minimum class size of 4). Minimum participant numbers can be met by opening your training to other AMHSA members.

  • Examples:
    • Happy Valley hosts an offering of Formal Workplace Inspections (FWI) with 12 employees attending
      • Happy Valley is invoiced for $600 + GST (12 participants at $50 each)
    • Happy Valley hosts an offering of FWI but only 8 employees attend
      • Happy Valley is invoiced for $500 + GST (8 participants at $50 each + minimum fee)
    • Happy Valley hosts an open offering of FWI. 8 Happy Valley employees attend, along with 4 participants from Happy City, for a total of 12 attendees. 
      • Happy Valley is invoiced for $400 + GST (8 participants at $50 each)
      • Happy City is invoiced for $200 + GST (4 participants at $50 each)
